FD Triage — Privacy Policy

FD Triage is an internal operations tool published by Flood Doctor Inc. It reads the mailbox of the person who installs it and posts a Google Chat card for each urgent email thread. This policy describes exactly what it touches, where that data goes, and what it never does.

What the app accesses

• Google Chat. The app authenticates as its own service account and can read and write only the messages it posted itself, in the direct-message space between it and you.
• Gmail, for the installing user only. Message headers, bodies, labels and attachment metadata in that person's own mailbox. This access is not granted by installing the app: it is domain-wide delegation that a Google Workspace administrator grants separately to the service account for their own domain. Without that grant, cards are read-only.

What it does with it

• The subject and body of a candidate message are sent to Anthropic's API to produce the short summary and urgency classification shown on the card. Anthropic does not train models on this content. No other third party receives message content.
• Per-thread state — subject, sender, message ids, status, the id of the card — is stored on a private computer controlled by Flood Doctor Inc., not in any cloud database.
• An audit row is written for every action taken on a card (who, what, which thread, the outcome) to a private Google Sheet owned by Flood Doctor Inc.

What it never does

• It never sends email on your behalf. Every reply action stages a draft in your own mailbox for you to read and send yourself.
• It never routes one person's mail to another. Each user's cards come from their own inbox only. Reassigning a thread notifies a colleague; it does not give them your mailbox.
• It never sells, rents or shares your data, and it carries no advertising or analytics.
• It requests no OAuth scopes from you at install time beyond chat.bot, which lets it talk to you in Chat.

Retention and deletion

Thread state is kept while a thread is open and pruned once it is resolved. Audit rows are retained as a business record. Remove the app from your Chat to stop all processing immediately; to have stored data about your mailbox deleted, email the address below and it will be removed within 30 days.
